Affiliate Tab

In the Affiliate tab on the Affiliate Setup screen, you can enter the contact information for your affiliate. This information appears on most reports produced by Keystone.

Affiliate pane

There are two fields provided for your affiliate's name, the Full Name and what HFHI and Build Brand call your Signature. “Anytown Habitat for Humanity” would be an example of a Full Name, and the corresponding Signature would be “Anytown”.

If you forget the meaning of these fields, hover the cursor over either field and Keystone will show you this example.

Your Full Name is used by Keystone for the title bar; for your Payment Address (see below); and to determine how your affiliate name should appear on reports. It can be on a single line such as:

Anytown Habitat For Humanity

Or it can be on two lines such as:

AnyTown
Habitat For Humanity

Your signature along with the HFHI logo is used on most of the Keystone reports. If the first word in the Full Name is Habitat, the signature is placed in the bottom part of the header. Otherwise, the signature is placed at the top.

The remainder of the address, phone, e-mail, and web site information in the top half of the screen is for the physical address of your affiliate's office, the phone/fax numbers there, and the electronic addresses for your affiliate, as applicable.

Payment Address pane

Use the Payment Address in the lower half of the screen to set the address, city, state, and postal (ZIP) code that you want printed on mortgage and closing fee coupons. This allows you to specify a different address if you want homeowner payments directed to an address different from your affiliate's regular address.

Global Settings and Other fields 

Changing the Country field in the upper right-hand corner of this tab changes some data formatting that is country-specific, such as dates, Social Security Numbers, and telephone numbers.

The Partner ID is the unique number assigned to your affiliate by HFHI.

The Tax ID (EIN) is the unique Employer Identification Number (EIN) assigned to your affiliate by the IRS.

Fiscal Year End allows you to specify your affiliate’s year end, which enables Keystone to provide reports for you by fiscal year.

The MTD Online check box allows you to enable or disable Keystone's online functions. This box is checked (enabled) by default. When enabled, this allows you access to MTD's online resources from within Keystone, such as MTD News, online help, training videos, the MTD User Forum, and the MTD web site. By unchecking this box, you disable all access to the Internet by Keystone, which you may wish to do if you have a slow or no Internet connection.

The Get MTD News check box allows you to control whether Keystone accesses the MTD News Service. Keep in mind, however, that unchecking the Get MTD News box here prevents any user of your database from being able to view the MTD News.

If the Get MTD News box is checked here on the Affiliate tab, individual users can still control whether they see the news items by choosing Tools > Options to open the Options screen and checking or unchecking the Get MTD News box there on the Other tab.

You can enable MTD Online services (by checking that box) and disable just MTD News by unchecking this box. If the MTD Online box is unchecked (disabled), the Get MTD News box is unchecked and hidden automatically.

The Send Statistics check box allows you to control whether Keystone automatically sends affiliate statistics to MoreThanData every 90 days using Microsoft Outlook. Unchecking this box disables this feature. These statistics provide information about your affiliate's computing environment with respect to how you use Keystone (number of users, type of operating systems, etc.) and a summary of which parts of Keystone your affiliate is using and the number of records you maintain (number of Contacts, number of Family Partners, etc.). These statistics will help MoreThanData develop software that best addresses both the highest priority needs and the specific computing environments of affiliates.

Only aggregated information is sent to MTD in this report. No personally identifiable information about anyone in your database is transmitted.

You can disable just Send Statistics by unchecking this box and checking the MTD Online services box (or leaving it checked). If the MTD Online box is unchecked (disabled), the Send Statistics box is unchecked and hidden automatically.

In the lower left-hand corner of the screen is the Keystone Email of Record field. Use this field to store the primary e-mail address MTD should use for your affiliate for support contacts and your login for software updates.

Payment Methods pane

Payment methods are used for closing fees and mortgage payments as well as for donations. Use this pane to define the default payment method options that appear in the Payment Method drop-down lists for these types of payments.

There are a number of predefined payment methods that come with Keystone.

To add new payment methods

Review the existing payment methods before adding new ones.

  1. Go to the new record line at the end of the list.
  2. Enter the new payment method Type.
    The payment method type can be set to F, D, or B to indicate whether a method is used by (F)amily Partners, (D)onors, or (B)oth.
  3. If this new type is non-posting payment method, check the NP check box.
    Check this box if you do not want payments with this type to post to QuickBooks.
  4. Enter an abbreviation for the payment method in the Abbr field.
    You cannot use any of the abbreviations listed in the table above.
  5. Enter a description for the payment method in the Description field.

You can also edit existing payment methods as needed. Note, however, that the payment methods CK, MO, CSH, EFT, UNK, XFR, NSF, RFN, INK are used by Keystone and cannot be modified or deleted.

To set default payment

You can set which payment methods you wish to be the defaults for payments entered for Family Partners and Donors.

  1. Select the payment method you wish to be the default for all family partner payments from the Family Partner Default drop-down list.
    Only payment methods with a Type of F (for Family Partner) or B (for Both) will appear in this list. You can choose a different payment method as needed when recording individual family partner payments.
  2. Select the payment method you wish to be the default for all donor donations from the Donor Default drop-down list.
    Only payment methods with a Type of D (for Donor) or B (for Both) will appear in this list. You can choose a different payment method as needed when recording individual donations.
