(S/A/F)/Demographics/Family Partnership Tab

Use the (S/A/F)/Demographics/Family Partnership tab on the Family Partners screen to store information useful to the process of guiding a family partner from the application stage to homeownership.

Use the Support/Advocate/Friend drop-down list to select and assign a contact to the responsibility of guiding this family partner and assisting them where they need help or advice. Only contacts who have been assigned to the General & Administration/S/A/F category will be on this list. For more information about categories, see the Introduction to Categories section.

Demographics pane

Record demographic details about the selected family partner(s) on the Demographics pane.

You can also record Attributes here in the corresponding fields. These attributes are defined on the Development tab on the Affiliate Setup screen. Attributes can be combined with other information related to the family partner and their home to provide useful statistical information for your affiliate. This information can be used to help you apply for grants and generate reports for other purposes.

Useful reports are located on the Reports screen under Development > Affiliate Demographics and Family Services > Demographic Attributes. The latter is particularly useful when pursuing grants.

Family Partnership Data pane

Use the Family Partnership Data pane to define the family partnership level the selected family has reached to this point.

As a family is accepted and moves through the process of reaching their sweat equity goal, paying closing fees, and finally occupying their new home, your affiliate may find it useful to track the family’s attainment of milestones. You can do this in Keystone by assigning families to the appropriate family partnership levels. Each increase in family partnership level means the family has achieved the next milestone in the process.

You can view and edit the definitions attached to each of the Levels I-V on the Family Partners tab on the Affiliate Setup screen. Regardless of how your affiliate sets these definitions, family partners currently having mortgage obligations to your affiliate should be assigned to Level VI, while family partners no longer active in the program should be assigned Level Xud. (Undefined)

Whenever you create a new family partner, Keystone automatically assigns them to Level I. Keep this in mind when defining the partnership levels.

Family Partnership Level statistics are a useful planning tool.  If you consider how many houses you plan to build over the next several months or more, you can determine how many applicants and family partners you need at each level in order to have the necessary number of qualified homeowners when the homes are built and ready for occupancy.

Hours pane

The Hours pane allows you to view or record family partner sweat equity totals.

How you use this pane depends on whether the Post Sweat Equity To Summary by Detail check box is checked on the Hours/Sweat Equity Activities tab of Affiliate Setup.

If that box is not checked, you can simply record the total hours worked by the partners or by others on their behalf. Since you are only recording a summary of the total hours worked and not any detailed hours records, the Detail button is disabled. This means you have to track their hours outside of Keystone in some other way and enter only the totals here.

If the Post Sweat Equity by Detail box is checked, you can enter records for each time a family partner or anyone working on their behalf performs any hours toward their sweat equity goal. In the Hours pane, the Detail button is enabled, but the By Partner(s) and By Others fields are locked. They are locked because Keystone automatically calculates the totals for these fields from the individual hours records you enter into Keystone.

Click the Detail button to open the Hours Detail window, where you can schedule or post hours for that family partner. Keystone automatically totals the hours you record in the Hours Detail window and enters them automatically back in the Hours pane.
