There are four tabs on the Property Addresses screen.
The Dates tab contains fields for dates of events connected to the address. Double-click any of these fields to see a calendar from which to pick the date. You can also enter the date directly in the field.
Sometimes legal work performed toward the closing of a house, especially if it is being done pro bono, is completed after the Mortgage Origination Date for the homeowner's mortgage. Therefore, there are separate fields for the Closed date and the Mortgage Origination Date, which is located on the Mortgage/Payment Information screen. See the Defining Initial Values section under Mortgages for more information.
The Contributions by Covenant Partners tab lists covenant partners associated with this property/work site and the amounts they have contributed. See the Covenant Partners and House Sponsorship section for an introduction to Covenant Partners, and the Recording and Posting Covenant Partner Contributions section for details on posting covenant partner contributions.
If you have already entered and posted contributions from covenant partners toward the selected property using the Fundraising Activities screen, those are listed here on this tab. However, if you would rather manually enter and post a list of covenant partner contributions toward this property, you can do that on this tab as well. This can be particularly useful if you want to add history to a property regarding which covenant partners contributed to it.
To add contributions on this tab, go to the new record line and select the covenant partner's name from the Name drop-down list. Then enter either their monetary contribution (Contribution field) or in-kind contribution value (In-Kind field). The total field is calculated automatically.
If you originally added this property to Keystone using the Properties Acquisition screen, you can use the Original Property tab here to link that original property with the HFH Property Address on this tab.
You can select the original property by ID number, Seller name, or Address. Once you select the original property, you can click the button to open the Properties Acquisition screen and see more details about the original property.
The property's ID number is the same as what was originally assigned to it on the Properties Acquisition screen.
Linking the HFH Property Address with the original property record allows you to see the (possibly multiple) home sites developed from the original property. You can see this in the original property's record on the House(s) tab on the Property Acquisition screen.
Linking to the original property also allows you to export the Directions To information (in the property record on the Properties Acquisition screen) for use in merge letters. When you link the Property Address for the work site with scheduled volunteer or sweat equity hours, the directions can be included in the invitation to the site. These directions can also be exported for Club Pledge member notifications to invite them to a groundbreaking or dedication.
For more information about recording volunteers' work on particular work sites, see the Batch Scheduling and Recording Hours Activity section. For more information about Club Pledge notifications, see the Sending Club Pledge Notifications and Reminders section.
The Demographics tab includes important information about the property, including data required for the HFHI Affiliate Statistical and House Production Reports. The Demographics tab also includes property attributes, which can be used for pursuing grants.
The Number of Bedrooms field allows you to specify a measure of the house size or plan. If this field is left blank, it will default to the number of bedrooms approved for the family partner on the (S/A/F)/Demographics/Family Partnership tab on the Family Partners screen.
On the other hand, if the Approved Bedrooms field on the (S/A/F)/Demographics/Family Partnership tab is blank when the HFH Property Address is assigned to the family, that field will be set to the Number of Bedrooms field value you enter here.
Use the Square Footage field for the number of square feet of the house located at the property address.
The Construction Type drop-down list has the following options:
Appraised Market Value - This is the value of the property located at the HFH Property Address. This can be either the value of the home as calculated by a licensed appraiser or the estimated market value of the home if you do not use an appraiser.
Attributes - Some funding agencies give points or greater consideration for properties or housing that have certain attributes: it is in a particular census tract, handicapped-accessible, and so forth.
Use the Development tab of Affiliate Setup to define the property and house attributes that are useful to your affiliate. You can then assign these attributes here on the Demographics tab to your various properties as appropriate. Assigning attributes to properties or houses is optional.
Keystone provides reports that can list all of the properties and houses that have a certain attribute.
The Documents tab contains the Document Management Folder field. This field tells you the name of the folder in which documents related to this property are or will be stored.
If the background of this field is blue, it means the folder exists and has the name shown in the field. If the background of the field is yellow, it means the folder does not exist yet.
If you wish to open the document folder (background of field must be blue) for this record in Windows, click the button.
If you wish to create a document folder for this record (background of field is yellow) using the default name shown in the field, click the button.
If you changed a property's address in its record, you will need to update the name of its document folder. Simply click the button and Keystone will automatically correct the folder name.
Do not change the names of the folders using Windows. Only modify them within Keystone.
For additional information, see the Managing Documents and Pictures in Keystone or the About Document and Picture Files and Folders sections.
